Effective Date: 17 December 2024

At Montyzooma, we take your privacy seriously. This Privacy Policy explains how we collect, use, and protect your personal data when you use our Hub and Client portals. We want you to understand your rights and how your data is handled.

1. Information We Collect
When you use Montyzooma, we collect certain types of data to provide and improve our services:

Hub Portal:

  • We use cookies to store your organisation name for session management (for up to 30 days). This cookie allows us to remember your hub without requiring you to enter it again.
  • Session variables are used to maintain your active session but are cleared when you log out or close your browser.

Client Portal:

  • We use cookies to store encrypted values for security purposes, including your TokenID, session information, and hub preferences.
  • Local storage is used to remember the current account you're accessing if multiple accounts are available.

2. How We Use Your Information
The data we collect is used to:

  • Identify your Hub or Client portal session and ensure you can access the right data.
  • Ensure security during your login and session activities.
  • Improve the user experience by remembering your preferences.

3. Data Sharing and Disclosure
At HewHub (Montyzooma), we respect your privacy and do not share, sell, or disclose your personal data to third parties without your consent. Your data is securely stored and only accessible by authorised users within your Hub organisation.

However, please note that while we do not share or sell your data, we cannot validate or guarantee the data practices of the Hub organisation itself. You should refer to the Hub organisation's privacy policies for more information on how they handle and share data within their own systems.

4. Data Retention
We retain your information for the duration of your session, or as long as necessary for us to provide our services:

  • Hub Portal: The organisation name is stored for up to 30 days in a cookie.
  • Client Portal: Cookies are stored for up to 30 days (main cookie), and other cookies are rewritten every hour. Local storage persists for the session duration or until the account changes.

You can clear your cookies or log out at any time to end your session.

5. Your Data Rights
You have the following rights concerning your data:

  • Access: You have the right to request access to the data we hold about you. Please contact us at privacypolicy@montyzooma.co.uk to submit an access request.
  • Correction: You have the right to request corrections to any incorrect data we may have.
  • Deletion: You may request that your account data be deleted at any time. Please note that data management, including deletion, is primarily handled by the Hub company (your organisation's administrator). Deleting your data may result in the loss of access to the portal or your organisation within the Hub.

6. How We Protect Your Data
We use industry-standard security measures to protect your data, including:

  • Encrypted cookies to protect session information.
  • Secure local storage for storing account details.
  • Session timeouts and redirects for inactive users to maintain security.

We use cookies and local storage to enhance your experience on Montyzooma. By using our portals, you consent to the use of cookies as described in our Cookie Policy. You can manage your cookie preferences via your browser settings or through the cookie consent banner. Please note that disabling certain cookies may affect your experience on the portal.
